Video/DVD Tersm & Conditions

a) Inca Video and Inca Wedding Services are trading names of SRT Productions LTD and shall hereon in be referred to as Inca Video

b) Inca Video will produce and store a master tape of your finished version for further copies or damage to your own video copy. Inca Video are not accountable for any damage to any master copies, and store them as a courtesy; we would like to note that we do not charge for master tape stock.

c) Although by paying a deposit and filling out our booking form, Inca Video are not accountable for any unforeseen problems that may occur on the way to the venues or during video filming, we are only human and regularly check all equipment and, if possible, carry spare equipment, but we shall not whatsoever, be liable for any unforeseen losses, omissions or problems, that occur during filming or in post production and will only be liable for, at the owners discretion, to reducing the original cost or a refund in extreme circumstances. Inca Video use freelance camera people and cannot guarantee any specific person to any specific wedding. Also we check the freelance operator’s quality of filming but cannot be held responsible for any omission of any footage while on location.

d) Inca Video do not expect to sit down to eat with guests at the reception, however it has also proved difficult to take sandwiches and a drink to a reception as the owners of hotels and clubs do not allow this, so when filming periods exceed 3 hours we will require arrangements to be arranged for a light snack (i.e. Sandwiches & soft drink). If you do forget the poor old cameraman, he will purchase refreshments at the location and therefore, will be charged to you before collection of the video.

e) Master tapes are stored at Inca Video studios and remain the property of Inca Video, you can arrange to buy the master from Inca Video and the camera tapes (uncut) can be purchased from Inca Video but notice must be given as to the later before the day of filming, (the reason you might make this purchase, is for the future, if you want to rework the original version, at some point, and retaining the optimum quality.) We will not hold original camera tapes after wedding day unless already requested.

f) When booking, a non refundable deposit of £100.00 should be made payable to ‘SRT Productions LTD’, the deposit is non refundable as we hold your date to the exclusion of all other clients booking that date. Any client that cancels within three months before the date of the wedding shall be liable for 25% of the remaining balance, anybody canceling within two months before the date will have to pay filming costs you originally requested. This is something we will enforce as we promise to film your day and no-one else’s, bookings are made a year or so in advance and the chances of us filling the date at such a short time are remote, and we will have to cover the cost of any freelance camera operators that may be assigned to your production.

g) The balance is due anytime up to and including 14 days before the wedding. Anybody failing to pay the balance before will have to wait until any cheques clear (5 working days.) We DO NOT release any production out of the studio until it has been paid for in full.

h) Copies will be made available after production, it is against the law to copy any of Inca Video productions. It is for your benefit for you use us for copies, as we have a high quality master to take a copy from, retaining optimum superior quality.

i) No Inca Video production may be broadcast on television in a public place without prior permission.

j) Any differing aspects to the day should be submitted in writing a minimum of 1 week before the day so we can prepare, such as, someone giving a reading at the church or singers at the church or bride arriving in a 18 wheeled truck or someone giving 'a formal speech aside the usual three at the reception, if we do not receive this in writing we will not be accountable for its omission.

k) By booking Inca Video, we assume you have cleared with the church all filming rights, and signed and in some cases, paid for the privilege of having a Cameraman at the church and establish our filming position with the Vicar or Priest. It is almost always essential that you ascertain from the Vicar or Priest the positioning for filming the service, please let us know two weeks in advance.

l) Inca Video ONLY use the finest quality tape throughout your production, from camera to mastering to your finished copy and copies, you can relax in the fact that we will only use the best using the latest and best technology.
No wedding production company works harder to ensure your wedding day is kept to relive forever.

m) The music that accompanies your production is entirely your choice. However, it is illegal for Inca Video (or any production company) to include and piece of music without obtaining the appropriate licences. All music licences are included into the package prices.

n) All Inca Video prices are subject to change at anytime.

o) These terms and conditions of business and the contract between parties shall be construed and applied in accordance with the Law of England and shall be subject only to the jurisdiction of the English courts.

Wedding Photography Terms & Condition

It is agreed that the following terms set out the total agreement made between the parties and that no variation or modification of this contract shall be effective unless agreed by both parties in writing.

Booking Fee

The Booking fee of £50 secures the date, time and services of Inca Wedding Services for the wedding and is non-refundable or transferable in the event of cancellation, it being the agreed loss suffered by the photographer due to cancellation. Cancellation less than 12 weeks before the wedding will result in payment in full. All cancellations must be in writing. Weddings that are postponed to a later date will retain the fee as long as the photographer can re-schedule for the new date and time.

Payments

Following payment of the £50 booking fee, balance of fees due are to be paid in full no later than 14 days prior to your Wedding date.

Display

Inca Wedding Services may use any images included in this contract in their studio, web site, portfolio, literature, display areas, exhibitions, competitions, advertising, slide shows or commercially.

Images

All image sizes are nominal. The Photographer/s will provide a pleasing colour balance but cannot guarantee exact colour matching owing to anomalous reflectance caused by a combination of certain dyes and materials especially man-made fibers. It is sometimes impossible to record digitally the exact colour as seen by the human eye.

Retouching

digital manipulation and artist finishing is available to the Client as an optional extra.

Reorders

All reorders shall be treated as an extension of this contract and no responsibility for error will be accepted unless orders are given in writing.

Copyright

The client own the copyright to all of the images that are presented to them, but not on any images that are not presented on the finished DVD

License

Inca Wedding Srvices shall be granted artistic license in relation to the poses photographed and the locations used. The Photographers judgment regarding the locations, poses and number of images taken shall be deemed correct. Due to the vagaries of the weather and the willingness of subjects it may not be possible to capture all the images requested.

Attendance

In the unlikely event of the assigned Photographer being unable to attend your wedding due to unforeseen circumstances, we reserve the right to appoint another photographer to attend your wedding on our behalf to undertake the wedding photography to his / her best ability.

Limitation of Liability

In the unlikely event of a total photographic failure or cancellation of this contract by either party or in any other circumstance the liability of one party to the other shall be limited to the total value of the contract. Neither party shall be liable for indirect or consequential loss.

Cancellation

The Client may cancel this contract at any time by giving written notice to Inca Wedding Services but in doing so shall forfeit any monies paid. Cancellation less than 12 weeks before the wedding date will result in the payment in full.

Negatives/Digital Files

Negatives / digital files remain the sole property of Inca Wedding Services

Blinking

Should the photographer notice that a member of the wedding party or guest has been seen to blink, the photograph will be taken again but it is impossible to guarantee to see all of them.

Prices

All prices are subject to the then current rate of V.A.T. (if applicable).

Payments

All cheques to be made payable to Inca Wedding Services Bank Transfer (BACS) payments can be accepted by arrangement.

Chocolate Fountain Terms & Conditions

To make sure we all understand the terms under which we are doing business, we are obliged to set out the following terms and conditions between us.

Definitations

Seller - means, Inca Wedding Services
Buyer - means, you, the person who is hiring the product/services from us even if you are hiring on someone else's behalf.
Delivery Charge - means a charge that is payable by you to us for the delivery of the item/service.
Fountain - means Chocolate fountain Term - means the day of hire

General Booking Terms

A booking is made and a contract formed when the Seller receives a booking form from the buyer along with a non-returnable deposit, and we confirm that booking to you. The booking form must be filled in correctly and supplied to us. Once the seller has received the booking form from the buyer, the seller will confirm your booking along with an invoice for the balance payment, which must be paid at least 14 days before the booking date. If you do not pay the balance by the due date the seller, will be entitled to regard the booking as cancelled and no refund will be payable. The seller will not take responsibility for any delay in reaching any venue due to road works, traffic chaos or any other highway hazard. Any variations on the terms and conditions can only be permitted if expressed in writing by the seller

Full Hire

When the buyer hires the fountain on a -full hire- basis, the buyer, agrees to be responsible for any claim against the seller for chocolate spillage on any item of clothing, furniture, carpet or anything else caused by others, how so ever caused. For standard or full hire, the buyer agrees to provide, a table, (Ideally a 4 ft round) a 13-amp power supply, parking .

Cancellation

The Buyer must make cancellations in writing. All deposits are non - returnable. If the booking is cancelled 28 -14 days before the event the hirer will refund 50% of the balance payment (if full payment has been made at that time). If the event is cancelled 14 days or less before the event, the hirer will refund 10% of the total booking price

Breakdown

In the unlikely event that the fountain should breakdown or fail to operate as a fountain, the system will still allow the guests to dip food into the bowl of the fountain, which will be filled with chocolate, and therefore provide the guests with the experience. The seller will refund to the buyer 25% of the full hire charge if this occasion occurs - full hire only. If a breakdown occurs during a standard hire and the seller has provided an operator, the same refund will apply, if the buyer is running the fountain and a breakdown occurs after the seller has left the fountain working, no refund will be due. In any event, the buyer agrees that the maximum claim that could be made in respect of loss or damage is restricted to the total cost of the hire and no more.

General

The Contract is between the Seller and the Hirer as principals and may not be assigned by the Hirer without the express written consent of the Seller. These Conditions form the whole agreement between the Seller and the Hirer and shall not be removed or varied in any way. The Seller is in default of any of its obligations hereunder, it shall not be liable where such default is due to any act of God, war, strike, lockout, industrial action, fire, flood, drought, tempest or other event beyond the reasonable control of the Seller. In such circumstances, the Seller shall give notice to the Hirer where possible, and be released from performance of its obligations hereunder to the extent the event of supervening impossibility prevents or restricts the Seller-s performance. These Conditions are subject to English Law and the Hirer consents to the exclusive jurisdiction of the English courts in all matters regarding the Services. It is not the intention of the parties to confer any rights contained in The Contracts (Rights of Third Parties) Act 1999 on any third parties referred to herein, and any such rights, which may otherwise be implied, are hereby excluded.

To add to this, we have created our all inclusive packages. There are two reasons behind us creating our all inclusive range. They are, to make it easier for you, so that you can book the majority of the services that you require for your wedding through us, and also to ensure that you get more for your money.

There are three set packages below. We know that these packages will not suite everyone, but we will always tailor make a package for you from the services that we offer.
